A Step-by-Step Guide for Units

Renewing your Scouting unit’s members has never been easier! Whether you’re a seasoned Key 3 leader or handling renewals for the first time, our process ensures clarity and efficiency. Here’s everything you need to know about renewing some of your unit’s members.

Key Reminders for Renewals

  • Timing is Everything: Renewals can be processed up to 60 days before expiration and up to 90 days after, during the lapse period.
  • Flexibility: This process can be completed multiple times if members are added later in the month or as they move into their renewal window.

 

Step-by-Step Guide to Renewing Members

  1. Log In to My.Scouting
    Begin by navigating to Menu > Organization Manager > Roster.

  3. Selecting Members to Renew

    • Choose specific members for renewal.
    • Decide whether payments will be made through your local council or online via credit card or ACH.
  4. Payment Methods

    • Paying Through the Council:
      Generate a PDF summarizing fees, print it, and submit it to your local council along with payment.
    • Paying by Credit Card or ACH:
      • Review selected members, ensure correct subscription settings, and finalize details.
      • Secure your payment details for future use if needed.
  5. Confirmation and Records
    Once payment is processed, a confirmation message will appear. Print this document for your records.

    • For ACH payments, expect a pending transaction message along with an email confirmation.

Avoid Duplicate Payments

The system ensures accuracy by preventing multiple payments within 30 minutes for the same members, saving you from accidental duplicates.
